Charter Management Assistant


As a member of our Miami based Charter Management Department, you will join a team that acts as Central Agents for a prestigious fleet of large motor and sailing yachts ranging from 35m to 109m.

Job details:

  • Providing administrative assistance to charter managers, to include general correspondence, enquiries, bookings, management of client and yacht files
  • Assistance with the electronic management of department documents
  • CMS system entry, including the recording of enquiries, bookings. charter progress sheets, entering and updating contacts and client relationships
  • Dealing with departmental travel arrangements
  • The taking of minutes at departmental meetings
  • Help arrange the provision of APAs (advance provisioning allowance) to the yachts
  • Assist charter managers with bank transfers in conjunction with our accounts department
  • Assist charter managers with VAT payments and processing such payments in conjunction with our accounts department
  • Assist with marketing materials, including annual Burgess Charter Directory, Burgess “The Edge” newsletters, yacht electronic presentations, departmental industry updates, announcements, electronic mailings, broker updates and brochure distribution
  • Updating information listed on Yachtfolio – the industry information and availability intranet system, and and any other site the company may support in the future, for yachts including; rates, specifications, crew profiles, bookings, photography etc.
  • Compilation and submission of the department weekly news for Burgess News
  • Updating information on the Burgess website, including any newsworthy items
  • Assist with arrangements for our central agency yachts to attend charter shows
  • Assist with the co-ordination and production of the annual charter reports for our yacht owners as well as any monthly reports for designated yachts
  • Assist with the distribution of twice-yearly market reports to our yacht owners
  • Assist with compilation of Burgess Charter Central Agency Proposals, as directed
  • Responsible for helping ensure all Burgess charter management documentation, including; flyers, circulars, letters, e-mails, proposals, etc., destined for outside the office, is to Burgess standards (Golden Rules)
  • Co-ordinating with other departments within Burgess for information sharing and cross-selling opportunities
  • Share in general office duties and assisting with other departments within the company as may be requested or required
  • Compiling of monthly credit card and cash expenses made on behalf of the company for your designated charter managers
  • Assist with special projects as required

Skills & competencies:

  • Microsoft Office including: Word, Excel, PowerPoint and Photoshop
  • Adobe Acrobat
  • Languages: a basic knowledge of any popular foreign languages such as Spanish, French, Italian would be an asset but not essential
  • Excellent organizational skills
  • Ability to prioritize and complete tasks on deadline
  • Ability to work well within a highly motivated and energetic team
  • An interest in marketing & creative design would be an advantage
  • Good attention to detail
  • Competent with numeracy

General office assistance:

  • Answer telephone & door (if Receptionist is unable to)
  • Assist with covering reception during lunch breaks and if receptionist is away
  • Preparing mail and couriers etc. for the department as needed
  • Destruction of documents (shredding)
  • It is noted that full attendance and participation at the Ft Lauderdale Boat Show, Palm Beach International Show and Miami Boat Show is expected; attendance may also be required, from time to time, at other major yacht charter shows, such as Barcelona and Antigua Charter Shows)
  • Attendance at Charter Open Day events may be required


  • Discretion, a good team player and an interest in yachting preferred.
