Administration Assistant, London

We are currently recruiting an Administration Assistant in the brokerage department in the London office.

Main responsibilities:

  • Assist with preparation of yacht presentations and reports – hard and soft copies
  • Assist with all client/general correspondence
  • Record all client activity in the Burgess Customer Relationship Management (CRM) system
  • Monitor CRM enquiries for all brokers and assist brokers with ensuring the enquiry logs are all kept up to date
  • Assist with contract preparation as required
  • Assist with booking of yacht visits/inspections
  • Collate and send out daily yacht and contact log
  • Preparation of weekly brokerage news
  • Assist with travel plans as required
  • Diary management
  • Submit/collate expenses for brokers

    Secondary responsibilities:

  • Occasional reception cover
  • Stand and Boat Show cover as required
  • Miscellaneous admin duties as required

    Essential Skills and Personal Qualities:

  • Fluent written and spoken English
  • Strong IT skills (especially MS Office)
  • Highly organised
  • Ability to prioritise, multi-task and work to tight deadlines
  • Keen eye for detail and accuracy
  • Good team player, but also able to act on own initiative

    Desirable Skills:

  • Knowledge of MS CRM and/or Adobe Photoshop

  • Technical Manager, London

    Reporting to the Fleet Technical Manager you will provide technical management and support to a group of vessels within the Burgess managed fleet. You will work closely with the existing Burgess Management teams.

    Duties:-

  • Technical Management of a fleet of vessels including Yachts, Passenger Yachts and Passenger Ships.
  • Adhere to all approved technical, safety and security procedures and contribute to their development; update technical contact information on company IT systems and manage any relevant technical documentation.
  • Provide interpretation of Class Rules and other related regulations; manage Class society block fee agreements; Monitor class survey schedules and requirements; Liaise with attending Class and Flag surveyors to ensure all items are dealt with satisfactorily.
  • Promote the effective use of PMS systems and appropriate conditioning monitoring techniques; assist with establishing Planned Maintenance Systems and ensure PMS contains all flag, class, builders, manufacturers and company requirements; review maintenance reports and provide feedback.
  • In partnership with the Yacht Manager, create a long term plan of major works.
  • Review all reported defects, analyse any significant defects and introduce measures to prevent recurrence.
  • Manage dry docking and refits; create refit specifications, shortlist suitable shipyards and manage tendering process; monitor refit costs, quality and schedules; attend on-board yacht or at shipyard for planning and progress meetings as required; provide support with warranty claims on completion of refit.
  • Provide round the clock support in the event of technical difficulties; duty manager rota and emergency response team participation; provide general technical and commercial advice and guidance; provide assistance with Insurance Claims.
  • Review any relevant manufacturer’s bulletins and service publications relating to on-board main machinery and ensure any remedial actions required are undertaken.
  • Assist with requests for urgent spares or services and manage the relevant logistics.
  • Ensure an adequate fluid sampling and analysis programme is adhered to. Review analysis reports, provide advice as required ensuring any resulting actions required are dealt with on a priority basis in line with maintenance or refit planning.
  • Ensure all yachts lifting gear is regularly inspected and certified.
  • Provide concise monthly Status reports for your assigned yachts to the Yacht Manager.
  • Undertake regular Technical Inspections on-board and ensure all items raised during inspections are clearly reported and followed up.
  • Ensure any costs related to Technical Management services have prior approval by the Yacht Manager.

    The successful candidate will have the following attributes:-

  • Formal Education in Marine/Engineering/Naval studies to diploma or degree level.
  • 3+ Years shore side superintendent experience or similar role.
  • 10 + Years seagoing experience in an engineering capacity to at least merchant Class 2 Level or equivalent.
  • Previous experience of technical management of passenger vessels is essential, knowledge or experience of passenger yachts or large yachts would be beneficial.
  • Excellent written and verbal communication skills at all levels (dealing with Captains, Chief Engineers, Chief Officers, Owners Representatives and colleagues).
  • Effective at problem solving and multi-tasking.
  • Sound knowledge of Classification, Flag, ISM/ISPS, SOLAS, Passenger Yacht, Large Yacht Code, etc requirements.
  • Fluent in spoken and written English. Proficiency in other languages may be beneficial.
  • Ideally the candidate will already be living within commuting distance of London and be eligible to work in the UK.
  • Good sense of humour!
  • A self-starter capable of working independently but also collaborating as part of a busy multi-functional team.
  • Able to travel worldwide.

  • Head of Yacht Management, Monaco

    The Head of Yacht Management, Monaco will lead and further develop the Burgess Monaco Yacht Management Team.

    Responsibilities:

    You will be responsible for:

  • the performance, conduct, efficiency and development of the Burgess Monaco Yacht Management Team
  • generating new business to increase the profitability and quality of the Monaco fleet
  • preparation of monthly management and financial reports
  • coordinating the production of management proposals for new business
  • leading the dedicated and loyal Burgess Monaco Yacht Team and as line manager, being the initial focal point for all employment or HR-related issues that may arise
  • proper and effective use of Burgess systems and procedures and contributing to their improvement and development
  • acting as the dedicated Yacht Manager and primary point of contact for vessels within the Burgess managed fleet that are assigned to you, providing ‘hands on’ operational day-to-day management services
  • cross selling of all Burgess services
  • representing Management at internal meetings and Burgess externally when required to do so at events and functions, where you will be expected to be an enthusiastic and respected ambassador for the company

    The successful candidate will have the following attributes:-

  • Sea-going experience in a senior position (Deck or Engine) with the appropriate qualification for this position;
  • Proven leadership skills
  • Experience in a senior management position ashore
  • Previous ship management experience;
  • Excellent communication and diplomacy skills, able to communicate effectively at all levels (dealing with Owners, Captains and colleagues);
  • Calm under pressure
  • Effective problem solving and multi-tasking abilities;
  • Sound knowledge of ISM/ISPS, SOLAS, MLC & STCW. Previous auditing experience will be beneficial;
  • Technical knowledge of large commercial vessels and their operation

  • Yacht Manager, Miami

    Reporting to the Management Department Director you will take responsibility for your fleet of vessels as the primary point of contact. You will work closely with the specialists in the management team who will support you in the functions which require their area of expertise. and will help you achieve the following:-

    Duties

  • Provide the principal point of contact for the vessel Crew/Owner
  • Operational Management of a fleet of vessels
  • Technical Management with the support of the Technical Management team
  • Crew Management with the support of the Crew Manager
  • Certification (Statutory and Class) and Insurance (working closely with Burgess Yachts Financial Services)
  • Accounts and Finance (review invoices, submit fund requests to Owners etc.) with the support of the Accounts team
  • Safety Management/ISM with the support of the Safety & Security Manager
  • Security Management/ISPS with the support of the Safety & Security Manager
  • Participation in the Emergency Response Team if required
  • Prepare Monthly Management Reports
  • Assisting to obtain new management business and cross-selling all Burgess services
  • Any other task reasonably requested
  • The successful candidate will have the following attributes:--

    Bosun - 70M Motor Yacht

    A Bosun is required to join a private yacht at the end of September. The candidate must hold a minimum of a Yachtmaster Offshore, Powerboat Level II, a valid ENG1 and have updated their STCW basic training certs.

    The Yacht’s guests are very keen on water sports and diving so applicants must hold a dive master or instructor qualification. Applicants must have excellent tender driving experience, strong maintenance skills and be confident leading a Deckhand team of three.

    2nd Officer - 70m Motor Yacht

    A Second Officer is required to join a private yacht at the end of September. Managing the garage operations is a key part of this positions with it being the central point for the guests; who are keen on water sports.

    We are seeking an officer who is able to communicate well with the guests, has an excellent knowledge and understanding of running a garage and looking after the tenders & toys, and with good overall knowledge of water sports.

    The candidate must hold a minimum of an OOW (Y) 3000gt, a dive master or instructor qualification, a valid ENG1 and have updated their STCW basic training certs. The successful candidate will be confident leading the deck team of a Bosun and 3 Deckhands.

    Deckhand - 85m Motor Yacht

    We require an experienced deckhand for an 85m charter MY currently based in the Mediterranean.

    The suitable candidate must have at least one seasons experience, be an excellent tender driver and hold STCW, ENG1 and Powerboat Level 2 certificates. A Yachtmaster or Deck Rating and Proficiency in Designated Security Duties are also desirable.

    Chief Stewardess - 60m Motor yacht

    We require a Chief Stewardess for a 60m motor yacht.

    Ideally the candidate will have a minimum of 2 years’ experience as Chief Stewardess and 1 year’s experience as Chief Stewardess on similar size vessels. The successful candidate must have up to date STCW basic training certificates, a valid seafarer medical and a Food Hygiene Level 2 certificate. This is a full time permanent position.
