  • OFFICE VACANCIES

  • YACHT MANAGER, MONACO

    Reporting to the Department Director and to the Head of Yacht Management, Monaco, you will be the main point of contact and wholly responsible for your fleet of yachts.  You will work closely with the Monaco Technical Manager, Monaco Accounts Manager and Monaco Crew Manager.  They will support you in management functions which require their area of expertise.  You will also liaise closely with the specialists in the London management team as necessary. You will be responsible for an assistant who will help you achieve the following:
     

    Duties

    • Principal point of contact for the yacht/owner
    • Operational management of a fleet of yachts
    • Technical management with the support of the Technical Managers (Monaco & London)
    • Crew management with the support of the Crew Managers (Monaco & London)
    • Certification (Statutory and Class) and insurance – working closely with Burgess Yachts Financial Services
    • Accounts and finance (review invoices, submit fund requests to owners etc.) with the support of the Monaco Accounts Manager
    • Safety management/ISM with the support of the Safety & Security Manager
    • Security management/ISPS with the support of the Safety & Security Manager
    • Participation in the Emergency Response Team                
    • Contd. 
    • Prepare monthly management reports
    • Assisting to obtain new management business and cross-selling all Burgess services
    • Any other task reasonably requested
       

    You will have the following attributes:

    • Sea-going experience as Captain, Mate or Chief Engineer with the appropriate qualification for this position;
    • Some previous yacht management experience will be beneficial but not essential;
    • Excellent communication and diplomacy skills, able to communicate effectively at all levels (dealing with owners, captains and colleagues);
    • Effective problem solving and multi-tasking;
    • Working knowledge of ISM, ISPS and MLC. Previous auditing and/or surveying experience would be beneficial;
    • Technical knowledge of yachts and/or ships;
    • Fluent in spoken and written English. Proficiency in other languages, particularly French will be beneficial;
    • Live within commuting distance of Monaco and eligible to work in Monaco;
    • Good sense of humour.
  • CHARTER MANAGEMENT ASSISTANT, LONDON

    General function:    

    Working in our London office as a member of the Charter Management department.  This department acts as the central agents for a prestigious fleet of large motor and sailing yachts ranging from 35m to 109m.  The department’s objective is to provide a comprehensive, efficient and informed service to our yacht owners, charter brokers and to the captains of the managed yachts, whilst maximising on charter revenue opportunities. 

     

    Job detail to include:

    • Providing administrative assistance to your allocated charter managers and to the department, to include general correspondence, enquiries, bookings, management of client and yacht files
    • Assistance with the electronic management of department documents
    • CRM entry (or any other IT system used by the company), including the recording of enquiries, bookings, charter progress sheets, entering and updating contacts and client relationships
    • Dealing with departmental travel arrangements
    • The taking of minutes at departmental meetings
    • Help arrange the provision of APAs (advance provisioning allowance) to the yachts    
    • Assist charter managers with bank transfers in conjunction with our accounts department
    • Assist charter managers with VAT payments and processing such payments in conjunction with our accounts department
    • Assist with marketing materials including annual Burgess Charter Directory, Burgess newsletters, yacht electronic presentations, departmental industry updates, announcements, electronic mailings, broker updates and brochure distribution
    • Updating information listed on Yachtfolio - the industry information and availability intranet system and any other site the company may support in the future, for yachts including; rates, specifications, crew profiles, bookings, photography etc.
    • Compilation and submission of the weekly news on behalf of the Charter Management team
    • Updating information on the Burgess website, including any newsworthy items
    • Assist with arrangements for our central agency yachts to attend charter shows
    • Assist with the co-ordination and production of annual charter reports for our yacht owners as well as any monthly owner reports for designated yachts
    • Assist with the distribution of twice yearly Market Reports to our yacht owners
    • Assist with compilation of Burgess Charter Central Agency Proposals, as directed
    • Responsible for helping ensure all Burgess charter management documentation, including; flyers, circulars, letters, e-mails, proposals, etc., destined for outside the office, is to Burgess standards (Golden Rules)
    • Co-ordinating with other departments within Burgess for information sharing and cross-selling opportunities
    • Share in general office duties and assisting with other departments within the company as may be requested or required
    • Compiling of monthly credit card and cash expenses made on behalf of the company for your designated charter managers
    • Assist with special projects as required

     

    Skills & competencies:

    • Microsoft Office: including Word, Excel, PowerPoint and Photoshop.  Familiarisation with CRM an added benefit
    • Adobe Acrobat
    • Languages: a basic knowledge of any popular foreign languages such as French, Spanish, Italian, would be an asset
    • Excellent organisational skills (computer and paper files)
    • Ability to prioritise and complete tasks on deadline
    • Ability to work well within a highly motivated and energetic team
    • An interest in marketing and creative design would be an advantage
    • Good attention to detail
    • Competent with numeracy 

     

    General office assistance:

    • Lunchtime reception duty once a month plus answering telephone and front door (if the receptionist is unavailable)
    • Preparing post and couriers etc. for the department as needed
    • Destruction of documents (shredding)
    • Occasional attendance at major yacht charter shows (including MYBA Charter Show in Barcelona and Monaco Yacht Show etc.) may be required

     

    Personal:

    • Discretion, a good team player and an interest in superyachts preferred
