Crew Services Administrator

Reporting to the Head of Crew Services, you will play a key role in supporting crew employment and payroll administration for Burgess-managed yachts.
You will be part of the Crew Management Team, working closely with:
 
  • Crew Managers (London & Monaco)
  • Crew Payroll Administrator
  • Crew Recruitment Team
  • Yacht Managers & Yacht Management Assistants (YMAs)
  • Safety & Security Team
  • Accounts Manager & Accounts Assistants
  • Burgess Crew Services (Guernsey)
This role requires strong organisational skills, a collaborative mindset, and the ability to act as a key link between multiple teams and departments.
 

Key Responsibilities

Crew Administration & Payroll
 
  • Administer crew employment and payroll processes for Burgess-managed yachts, in collaboration with Burgess Crew Services (BCS), ensuring all documentation is prepared accurately and on time.
  • Review and verify crew documentation and certificates; ensure that the certificates are uploaded to Burgess Manage (in-house ISM database).
  • Prepare and issue Seafarer Employment Agreements (SEAs), Employment Agreements, and other relevant documentation (eg confidentiality agreements, vaccination records, crew handbook).
  • Assist yachts with monthly salary processing, pushing the payroll through the process, and ensuring funding request letters are issued and processed – chase as required.
  • Prepare other employment-related correspondence, such as mortgage application letters and termination letters.
  • Act as a conduit between YMAs and BCS to ensure a smooth transition of crew payroll and employment paperwork to BCS, while remaining available to answer queries and resolve issues.
Database & Systems Management
 
  • Maintain expertise in crew-related modules of Burgess Manage (crew leave planner, payroll, personnel records) and act as a first point of contact for related queries from onboard crew, internal staff, and BCS.
  • Update Nigel/Phoenix (Burgess CRM software) with relevant client and industry data.
Team Support & Collaboration
 
  • Provide holiday cover for the Crew Team and YMAs.
  • Support social media campaigns as part of the Crew Team.
  • Contribute to the continuous improvement of crew services processes
 

Person Specification

Essential
 
  • Genuine interest in Seafarer human resources.
  • Ability to work independently and take initiative while being a strong team player.
  • Proficient in Microsoft Office (particularly Excel at an intermediate level).
  • Excellent written and verbal communication skills in English.
  • High numeracy skills and strong attention to detail.
  • Ability to adapt communication style to suit different audiences and situations, demonstrating tact and fairness.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Creative thinking and problem-solving skills.
  • A good sense of humour.
  • Eagerness to learn and develop professionally.
Desirable
 
  • CIPD qualification.
  • Previous experience as yacht crew.
  • Experience working with high-net-worth individuals.
Note: No prior knowledge of yachting is required. However, familiarity with the industry will be advantageous.
