Crew Administrator

London

Reporting to the Fleet Crew Manager, you will assist them in their daily duties.

You will work in the crew management team working with the Crew Manager (London), Crew Manager (Monaco), and Crew Recruitment Administrator (Palma).  You will work alongside the Yacht Managers, the Safety & Security Manager, the Accounts Manager and their assistants.  You will work closely with the personnel of Burgess Crew Services (Guernsey) PCC Ltd (BCS).

Duties:

Crew Administration

  • Undertake the crew administration for BCS managed yachts. Work with BCS to ensure that all paperwork is prepared correctly and issued. This includes but is not limited to:
    - assist with crew recruitment
    - check crew documentation and certificates (and loading them into Burgess Manage)
    - prepare Seafarer Employment Agreements (SEAs), Employment Agreements or letters of employment
    - process the monthly salaries including the funding request letters
    - prepare other employment related paperwork including mortgage application letters and termination letters.
  • Undertake crew dept statistical data, including employment stats, recruitment stats, social security information, and any other data requested.
  • Be familiar with all aspects of Burgess Manage (in-house ISM database) crew related areas (and and client specific safety management systems).
  • Assist with the crew administration for all Burgess managed yachts and Burgess Crew Services (Guernsey) PCC Ltd (BCS) crew managed yachts specifically training and certification.
  • Assist with the maintenance of crew records on Burgess Manage, including checking crew certification. This will include regular audits of crew records to ensure they meet with current legislation.
  • Have knowledge of and as required, assist with the maintenance of crew records in line with the Maritime Labour Convention (MLC, 2006) and International Safety Management (ISM) requirements and with current legislation.
  • Update Nigel (the Burgess Client Relationship Management software) with any relevant industry information.
  • Provide holiday cover for the Crew Team.
  • Cadetships - liaising with the cadet company, the yachts and implementing cadet training programme.
  • Assist with the development of the crew management hot topics (eg mental health awareness, alcohol awareness) and social media content.

Recruitment

  • Respond to all crew job enquiries.
  • Assist the Crew Recruitment Administrator with recruitment using crew recruitment software and social media.
  • Assist with the selection and recruitment of Burgess and BCS managed yacht crew.
  • Any other task reasonably requested.

 

Person Specification:

The successful candidate should be able to demonstrate the following personal qualities:

Essential

  • A genuine interest in human resources
  • Capability to work independently and take initiative but also be an excellent team player
  • A proven ability to use Microsoft Office products to intermediate level, especially Excel
  • Excellent level of written and spoken English and numeracy
  • Attention to detail and conscientiousness to record information accurately
  • Be able to adjust manner to suit the audience or topic displaying a tactful and fair approach
  • Good organisational skills
  • Creative skills
  • A good sense of humour
  • The desires to constantly learn

Desirable (but not essential)

  • CIPD qualification
  • Experience as yacht crew

No prior knowledge of yachting is required. However, any understanding of this area or experience of dealing with high net worth individuals would be of benefit to any applicant.

Candidates should have a genuine interest in human resources.
